    General Information
    01. How Much Does Event Farm Check-In + CLEAR Health Pass Cost?

    The solution is available for an introductory price of $5 per registrant.  This paid on Contract, and there is a minimum order of $500 (covering up to 100 registrants).  If you exceed the number of attendee Health Passes you have purchased in advance there will be a post event fee of $6.50 per additional attendee.

    02. What if I overestimate the number of attendees? Will I get a refund if fewer attend than I purchase up front?

    No.

    03. What is the cancellation policy?

    If your event is cancelled with 45 days notice we will hold the funds for use at a future event.

    04. Do you offer onsite staffing/support?

    Onsite staff is not required or included, but can be available at $2,500 per person per day + travel and expenses.

    05. What are the recommended and required lead times for an event organizer to communicate its use of EF CLEAR Health Pass to its event attendees?
    • It is recommended that the organizer send the first communication that it will be requiring EF Clear Health Pass 30-45 days pre-event.
    • It is recommended that the organizer send the email with its event specific code 10 days pre-event.
    • The shortest time period we require to process an event organizer’s use of EF CLEAR Health Pass is 3 days.  This is not a guarantee, is not recommended and depends on the current demand and could incur a rush fee.  For comparison we recommend at least 2 weeks pre-event.
    06. This sounds complicated and we have never done this before. What if we mess this up?

    Our process is designed to take much of the complexity out of managing this process.  We provide clear guidance on what you as an event organizer need to do leading up to the event, how to communicate effectively to your attendees, and what you and your staff can expect at the event, including suggestions on how to handle those Not Verified attendees.  We cannot guarantee outcomes and results, but so far, our early customers have shared their enthusiasm at the ease of this solution and we have a 100% return customer rate.

    07. Do you offer onsite testing?

    We do not do the actual testing but we are working on a partnership with a company who can provide tests, once this is finalized we will update this information.

    08. Can you verify a test result if the attendee does an at-home test?

    Yes. CLEAR Health Pass verifies the following at-home tests: Lucira Check It, Let’s Get Checked, Pixel by Labcorp, EverlyWell, and Vault.

    09. Do you contact trace if COVID was spread at the event?

    We do offer our add-on Event Safety Toolkit suite of products that has a component for Contact Tracing. Your attendees would use it like access controls as they would need to scan a QR code or tap an NFC badge/wristband in and out of areas they are in.

    01. Is the Event Farm Safety Toolkit included when I purchase the CLEAR Health Pass solution?

    No. Only the Check-In App is included. However, you can add-on any of our safety and engagement solutions such as: Event Registration, Event Safety Toolkit, Salesforce Integration, Attendee Mobile App and SMS Messaging. If you’ve filled out a form already, ask our team member when they reach out to you.

    02. I want to add more safety protocols to my event. How can the Event Farm Safety Toolkit help?

    • Attendee Messaging: Ensures you communicate with attendees quickly by sending event updates or important safety alerts via text message – Faster than email and more effective than in-app notifications.
    • Entrance Queuing: Reduces crowds at check-in by sending text messages to segmented groups when it is their time to check-in.
    • Mask Management: Tracks staff mask usage and replacements.
    • Code of Conduct: Presents your event code of conduct during registration and requires digital signature of acknowledgement.
    • Contact Tracing: Gives you a detailed log of who went where during the event.
    Attendee Data & Reporting
    01. Will the data collected by CLEAR Health Pass be synced back to the event in the Event Farm platform or the MemberSuite AMS?

    No.  We do not store any information about any individual’s vaccine or test results and this is completely secure to the individual’s Health Pass – all your staff will see is a Verified or Not Verified status according to your requirements.

    02. Do we have to email you with a list of attendees/contact info?

    No. For the purposes of Health Pass validation at the door you will be uploading your attendee list (First, Last, Company) into the Event Farm Portal. For registrant communication, we supply you with communication templates that you then send to your attendees.

    03. Can I get a post-event report of what staff, exhibitors, and attendees were checked-in to the event using the Event Farm Check-In + CLEAR Health Pass solution?

    Yes. this report is available to every organizer that uses our Check-In application. Additionally, the Check-In app shows this data in real-time.

    04. Can I get a list of what invitees have downloaded the Health Pass and their Verified/Not Verified status before the event?

    Yes. The Event Farm platform offers a guest list dashboard that provides event hosts with visibility in real-time of who has completed the event’s entry requirements validation process in the CLEAR app, who has the green light to attend, and who didn’t meet the requirements.

    01. I can download the Health Pass for free from the CLEAR Health Pass site. Why am I required to make a purchase?

    By using Event Farm’s Check-In on site solution with Health Pass you are able to:

    • Control who can access your event with your specific event code tied to the Health Pass for that event.  
    • Determine if you will require proof of Vaccination Only, Negative Test Results Only, or Vaccination and Negative Test Results.
    • Configure and tailor the guided enrollment steps specific to your event.
    • Complete Health Pass verification and Check-In in one easy step.  Note – if you are also printing badges on site (and you are not using Event Farm for registration) you will need to complete a badge print scan.
    • Significantly reduce the cost and frustration for attendees and staff alike through automating the process as opposed to physically inspecting paper vaccine or test result records.
    • Have peace of mind that all your attendees and staff are fully compliant with a verification against Federal CDC records and verified lab results.
    02. If some registrants haven't downloaded and enrolled in the CLEAR app, do you reach out to them?

    No, you will continue messaging all registrants up until the event to ensure that they have enrolled on the CLEAR app. 5 days prior to your event, our Support team will provide you with a “health of your event report” to show adoption.
